Managing Uploaded Files
Overview
- The File Management section allows you to upload, organize, and manage all the files relevant to your HR tasks and AI assistants.
- This section provides a centralized location for all your documents, making them easily accessible to your AI assistants for Q&A, document generation, and other tasks.
Accessing the File Management System
Click on the “Files” icon in the left sidebar. This will bring you to the file management interface.
Uploading Files
- Click on the ”+ Upload File” button located at the top of the file list.
- A modal dialog will appear, prompting you to input the details of the file you wish to upload.
- File Upload Modal:
- File Selection:
- A “Choose File” button allows you to browse your local computer for the file you want to upload.
- The text area next to the “Choose File” button shows the name of the file that is selected, or “No file chosen” if no file is selected.
- File Name Input:
- A “File name…” text field allows you to provide a name for the uploaded file.
- This field is optional.
- Description Input:
- A “Describe the content of the file…” text area provides a space to add a brief description of the content of the file.
- This field is optional.
- Action Buttons:
- “Cancel” button: closes the upload modal and cancels the file upload.
- “Create” button: uploads the selected file and closes the modal.
- File Selection:
- Supported file types: Please see the FAQ for the specific list of supported file types.
- File size limits: Please see the FAQ for the file size limits.
File List
- The file list will show all your uploaded files in a clear, organized manner.
- Each file item displays:
- The file type icon (e.g., PDF icon).
- The file name, which is a clickable link that could eventually perform actions.
- An optional description below the file name, if added during file upload. If no description was added, it will display “No description.”
- If no files have been uploaded yet, the system will show a “No files” message.
Searching Files
- Use the “Search files…” input field to search your files using keywords or file names.
- The file list will automatically filter to show only the matching results.
File Actions
- (This part will be completed once the actions are fully implemented in the UI).
- Once files are uploaded, you can perform actions, such as:
- View: Open and view the content of the file.
- Rename: Change the name of the file for easier identification.
- Delete: Remove a file from your file list.
- Download: Download a file to your local computer.
File Organization
- (This part will be completed once folders or other file organization strategies are implemented).
- Future features may include creating folders and using tags for better organization.
Chat Input Hint and File Attachment
- In the chat input area, you will find a hint indicating how to attach files to the chat.
- The hint says: “Ask anything. Type ”/” for Prompts, ”@” for Assistants, and ”#” to attach Files.”
- To attach a file, type ”#”, then select your file from the file list.
- Type your prompt as usual.
- The assistant will use the context of the attached files to generate a response.
How Files Are Used
- Uploaded files can be used by your AI assistants for a variety of tasks.
- Documents can be used for Q&A sessions, enabling assistants to answer questions based on the information contained within.
- Files can be used as a source of context for document generation tasks.
- Uploaded resumes can be used for talent profiling and evaluation.
Best Practices
- Use descriptive file names for easier searching.
- Organize files logically to facilitate usage by your AI assistants.
- Regularly review and remove outdated files to keep the file system clean.
